How do I create a listing in Agent Admin?
Once you've logged in to Agent Admin, click Listings then Add Listing.
Let's show you how to create a new listing in Commercial Real Estate Agent Admin.
There are many components which are based off the ‘date created’ date which cannot be altered.
These components include:
• Listing ‘new’ tags,
• Property alert’ programming
• Expiry date
• Listing and agency reporting stats
• Any auto-upgrade settings
Agent Admin may stall or time out if you take more than 20 minutes to complete your listing. If you find that you are unable to complete the whole listing within 20 minutes, you may wish to complete steps 1 - 3 and ‘save to pending’, then complete the listing and send live, however this must be done on the same day.
Before creating a new listing, make sure any agents to be assigned to the listing are already loaded into the Agent List. Click Here for more info on how to create/add new agent.
Once a listing has been created as a ‘Sale’, ‘Lease’ or ‘Commercial Sale or Lease’ it cannot change to another category. This is especially significant for ‘Commercial Sale or Lease’ which for example may be sold but is still for lease. You would not then be able to change the listing to Lease only.
If a listing is for auction, by default the price will not display on site. It will be replaced by the text ‘Commercial Auction’ regardless of what has been entered as the price or price display text.
Lease listings only need to enter the PCW price and agent admin will calculate the annual price and display this in the listing.
Create a Commercial listing in Agent Admin
Login to Agent Admin. From top navigation menu click Listings then Add Listing
Select the listing type.
Once you click a category you'll need to enter an SMS verification number, which will be sent to your phone.
To create a listing the following details are compulsory and must be entered:
• Sale Type
• Primary property type
• Suburb
• Either Land Area or Building Area
• Parking
• NABERS if building size more than 1000sqm
• Price Unit
• Price
• GST
• Headline
• Description
You will not be able to create a listing unless these fields are complete.
Listing Type
Select a sale type and property types from the drop-down menu.
You can select up to 3 secondary property types.
Your reference will be automatically generated when the listing is created.
Address Details
Next, enter property address details.
Make sure the apartment number, street number and street name are all entered into the correct fields, or the map location on the listing will be incorrect.
Start typing suburb name, then choose from the list. Suburb will validate and the State and Postcode will automatically populate.
Select whether you would like to display full address, street and suburb only, or from the other options. This will also affect the map location appearance on the listing.
Property Details
Set the Land Area, Building Area and other details.
Land Area Unit: Is the listings whole land area measured in square meters, acres, or squares, etc?
Building Area Unit: Is the listings internal building area measured in square meters, acres, or squares, etc?
Occupancy: Does the property currently have tenants? If Tenanted is selected, you can enter tenancy details below Property Description
Parking: If selecting On-site parking available the number of spaces must be specified
NABERS rating: NABERS is a compulsory field for commercial property with building size more than 2000sqm
Pricing Information
Enter the price or price range
Enter Price As: Is the listing advertised as a total amount or per sqm?
GST: Does the price listed include GST?
Per sq.m: Price per sqm is based on building size. As you enter the /sqm price the Price Preview will update automatically. The price on your listing will be displayed as a total amount (not the per sqm amount) - unless you select Display text in listing and enter this amount.
Setting the 'Price Display'
Display price in the listing - Choose this option if you simply want to display the actual price or price range, which was entered in the ‘Search Price’ field.
Display text in the listing - Choose this option if you want to display something other than the price eg: “Offers Invited” “Price on Application”. If you enter a numeric value in this field, the numeric value will be displayed and will appear in search results according to this value. Maximum 80 characters.
Price preview - Shows what is going to be displayed on the listing. If the listing type is Auction, the text Commercial Auction will appear by default.
Property Description
Do not copy/paste directly from a word doc or another webpage as this will copy invisible html code which will not be accepted by our page.
You must copy/paste onto Wordpad (windows), TextEdit (mac) or any other ‘text only’ word editor. Or when pasting, right-click > ‘paste as plain text’
Headline - The headline that will appear on property details page, and search results (platinum) 80 characters max.
Description - The copy that will appear on property details page. 3000 characters max.
Phone numbers, website links and email addresses are not permitted in the headline or description. Entering any of these in the description is a breach of our terms and conditions.
Highlights - Up to 3 property features can be entered as 'Highlights' and will appear on your listing below the description. Each Highlight can be a maximum of 40 characters.
Tenant Information
If Tenanted has been selected in the Occupancy option, you can enter tenancy details below Property Description. This is not compulsory.
Click Save and Next to load images, or click Save to Pending to continue later.
Images must conform to these specifications:
Filetypes: JPG, JPEG
Recommended minimum size: 1600px by 1200px.
Minimum Size: Images below 800px X 600px will not render on site.
Optimum ratio: 4:3.
Filesize: up to 10MB is supported although we recommend 3MB max.
Click Add Photos
From your desktop you can drag image files into the window or click Add Files > select multiple images from folder on your desktop >
When the files have validated and can be seen in the window, click Start Upload.
Images have now loaded and can be seen in the preview panel.
To change the order of images click Re-order or Remove Images. Next, drag images into the correct order. Delete any unwanted images. Click Save & Close.
To upload floor plans click Add Floor Plans and it's the same process as loading images.
Virtual Tour and Video Tour
A virtual tour is like an interactive floor plan. It may have pop-up images linked to hotspots, it may be a zoom in navigation style floor plan, or any variety of media.
You must not use links that link to another webpage. Only link directly to the video or virtual tour file itself.
A video tour is a video of the property.
NOTE: Only video hosted on Youtube is supported.
You can’t physically upload videos and virtual tours to CRE listings - you can only input the URL which must link directly to the file. Media must be hosted somewhere like Youtube or Matterport, or with a pre-approved and recognised video supplier:

• KR Pano
• YouTube
• Snaploader
Attachments
If you have PDF documents such as contracts or brochures, they can be attached to this section.
Website link
If you have a website or webpage specifically for this listing, it can be entered into this field and will appear in the listing.
Click Save and Next
Inspection Times
Deselect Inspections by appointment only (unless that’s what you want). Open times will not appear on the listing if this is selected
Choose date from the calendar > Enter 12 hour time only and type 'A' for AM or 'P' for PM. Click Add to save.
Eg. I want my open to be 2pm - 2:30pm; I type: 0-2-0-0-p (tab) 0-2-3-0-p > Add
Contacts
‘Send email enquiries to the default address for this listing type:’ will be selected by default. This means that any enquiries will be sent to the ‘general enquiries’ email address (entered in the Agency Details page) as well as any agents selected.
To select an agent, click the ‘Select Agent’ drop-down menu and click on the agent you want to assign to the listing.
If you can’t find the agent you want to assign, it means they have not yet been added to the agent list. You can complete the listing without an agent, then add the agent to the agent list. Once they have been added to the agent list you will be able to select them as a contact for the listing.
Select 'Receive email enquiries' if this agent is to receive email enquiries sent on this listing.
The agent must first be entered in the Agent List. See this article to for more: Create/Add A New Agent Profile.
Up to 3 agents can be selected. Any agents selected will appear on listings.
If you would like email enquiries sent to an alternative contact that is not displayed, such as a lead management system or the Principal, use the Other Email field.
Conjunctional Agents
You can only add conjunctional agents if they belong to an agency that has an active CRE account. They must be added to that agencies Agent List.
Enter the name of their agency > Choose from the list > Select an agent from their list > Select a second agent from their list (if applicable) > Click Add
Click Save & Activate Listing
When a listing is created or updated it will be held in Pending status while our systems do their thing. This usually takes 5 - 10 minutes, but if there's a system issue it may take a while longer.
We're all done
The listing is now live and will be searchable within 20 minutes.
